01 Problem
The team was repeating the same task every day across spreadsheets, emails, and internal tools. It was not difficult work, but it was constant, and every small mistake created more admin later. The bigger problem was that nobody had time to stop and fix it. The process was annoying, but it was also familiar, so it kept getting pushed to another week.
02 What we found
The work did not need more people. It needed a cleaner workflow. Most of the steps followed the same pattern every time, but they were being handled manually because the systems were not connected. The part needing attention was the repeatable handover between tools, people, and status updates.
03 The fix
We mapped the task from start to finish, removed the steps that did not need a person, and kept human checks only where judgement was actually needed. The automation handled the repetitive parts: collecting the information, checking the status, updating the right place, and sending the next step to the right person.
